User Management

Roles, groups and project access, and how Admins add and manage users.

In AO, each person has a role, which sets what they can do, and belongs to groups, which set which projects they can see. This article covers roles, groups and managing users.

Roles

AO has four roles. To see yours, click your initial in the top right corner, choose My Account and open Profile.

Groups and project access

A person sees a private project when they created it, belong to a group that has access to it, or are an Admin in its organization. A public project can be viewed by everyone signed in to that AO, in any organization. Projects people create in AO are private.

To create a group (Professional or Admin): click your initial in the top right corner, choose Groups, then Add Group. Enter a name and an optional description, choose Save and Continue, then add people on the Members tab. Professionals can edit and delete the groups they created; Admins can manage every group.

To add or remove people in a group: open Groups, open the group, and go to its Members tab. Move people between Group Members and Organization Members, then choose Save and Exit. Professionals can change the groups they created; Admins can change any group. Admins can also open the person in Users and change their Groups tab.

To give a group access to a project: open Projects at the bottom of the left toolbar, open the project, and go to its Group Access tab. Move the group from Organization's Groups to Assigned Groups, then save. Professionals share the projects they created with the groups they created.

To remove access: move the group back to Organization's Groups, or remove the person from the group.

To see who is in a group: open Groups, open the group, and go to its Members tab. If you aren't a Professional or Admin, ask your Admin which groups you're in.

Managing users (Admins)

Click your initial in the top right corner and choose Users. Last Login shows the latest activity of the person's sign-ins, such as signing in, AO renewing a sign-in while they use AO, or signing out. A dash (-) means AO has no sign-in on record for them.

  • Add a user: choose Add User and enter their email, full name, nickname and role. AO emails a new user a link to set their password. If the person already has an AO account in another organization, and your organization has multiple organization membership turned on, AO adds them to yours and lets them know. Otherwise AO can't add that email. Emailed links use the address you have AO open at, so add and invite people while AO is open at the address everyone uses.
  • Edit a user: open the user to change their name, nickname, email or role on the Details tab, and their groups on the Groups tab, then save.
  • Help someone sign in: open the user and choose Email Password Reset or Email Invitation Link. Both send the same email, titled "Reset Your Password For Terradepth Absolute Ocean". Password links last 24 hours. For people without email, such as on a ship's network, Terradepth support can turn on Copy Reset Link for your organization, so an Admin can copy the link and pass it on. It works for people whose account your organization created. It copies only when AO is open over https://, or at http://localhost:8888 in a browser on the AO server itself (AO opens it as http://127.0.0.1:8888). On a plain http:// address, the copy fails: use Email Password Reset, or copy the link on the AO server and change http://127.0.0.1:8888 at its start to your AO address before you pass it on. A failed copy still makes a new link, which replaces any sent before.
  • Remove a user: select the user in the list, choose the delete icon, and confirm.

If you belong to more than one organization

When multiple organization membership is turned on, one AO account can belong to several organizations. Choose the organization you're working in from the menu under your initial in the top right corner. Your role and groups can differ in each organization.

Availability: multiple organization membership and Copy Reset Link are turned on per organization. To use them, contact support@terradepth.com.
